Know what your marketing – We should have the basic outline of events, names and description decided atleast 2.5 months before the festival.
First Teaser poster should be out on vista facebook page and website should be showing a teaser page, along with any sponsors if they have been confirmed
Between 2.5 months and 2 months while event details are being finalized use fb page to keep posting some creative content which people know that fb page is alive. Like some current affairs related stuff. The skeleton of the app should be completed by now and uploaded online
2 months before vista events are finalized. Upload the list of events on fb using posters,etc and start preparing and sending the first brochure which will be sent to schools. The brochure should also contain details about the app and qr code to download it. Website and app should now start showing details about the events, etc.
1.5 months left – Divide the work between the PR team to call different colleges. First priority call colleges which came last year, as most likely they will come again. Then start calling colleges which are remaining. Start sending notifications through the app about various events.
1 month left – Speakers should hopefully be finalized by now. Update the website and app and send out the second brochure once again with the events list and the new speaker added. Leverage social media again.
3 weeks - You can start a few events related to vista to create hype about vista. (One event can be over the mobile app) This should be planned with events vertical from before. Start local PR drives in Bangalore. While this is happening calling of colleges is also simultaneously happening. Daily updates should be seen on fb and timely notifications should be sent via the app, we don’t want users to uninstall the app.
2 weeks till fest starts – Start calling colleges to confirm participation as accommodation
