Personal Statement
You have just participated in an important meeting with your superior. How will you ensure that every part of the instructions you received will properly reach all subordinates, suppliers and clients, located in different parts of the world?
- Before the meeting:
First of all I will do my best to make sure that the meeting sets clear agenda and the parties involved are aware of it and follow thoroughly.
- During the meeting:
I will take notes and ask for clarifications to ensure common understanding of the subject issues. If necessary I will share my opinion and position on certain aspects of the subject matter related to my field of responsibility as well as the overall company’s policies to ensure that everybody is ‘on the same page’.
- After the meeting:
Following the meeting I will prepare a summary of the discussions with comprehensive instructions which should be clearly defined. Further, I will develop a detailed action plan to implement the instructions which will be shared with the concerned team members including immediate subordinates, regional managers and representatives to get their feedback. A meeting with subordinates will be held to share the outcomes of the meeting and to discuss the action plan and ensure common awareness and agreement on its goals and objectives. Furthermore, the action plan will be communicated to the clients and suppliers in respective regions through the region wise distribution network of my subordinates who will be assigned to specific regions to communicate and closely follow up on implementation of the instructions by our local representatives and our network of clients and suppliers. Once the subordinates are fully aware of the objectives and the action plan is shared with the clients and suppliers in their particular regions they will in turn have conference calls or meetings to convey the main goals of the action plan and steps to undertake to meet the deadlines.
