INTRODUCTION

We, Yujico Event Planner Company are pleased to submit our proposal to organize a 3-days advertising fair for you, Ayataka Ltd. With over 20 years of experience under our belt, we can confidently say that we’ve honed our skills to perfection. We specialize in planning and conducting big event. Our repertoire of events covers a wide range of industries such as music festival, fashion and etc.  We’re more than ready to offer you total peace of mind when you leave your event in our hands. We have a dedicated team of staff who can turn your visions into reality. Our previous clients like Coway can proves that we’re not just all talk and no action.

BACKGROUND AND PURPOSE

Based on the previous conversation, we understand that your company is planning to advertise your Japanese Cuisine food and beverage product in our country where the fair will be held on 31st August to 2nd September 2018. We also know that your company wanted to present your products in the best possible manner, so that you can easily engage customers’ attention and also increase the knowledge of Japanese culture. According to your requirement, we are plan to organize the fair with Japanese style theme in order to let our local people can feel the Japanese culture from this fair. With our ‘one-stop solutions’ concept, you can be assured that every aspect of your event is well-managed from A to Z. Save yourself the hassle of getting in touch with different vendors for different aspects of the event.

PLAN

In order to set up our plan for your company, we propose the following:

  1. Venue

Through the research that we carried out, we found that Kuala Lumpur Convention Centre (KLCC) ground floor hall 4 is the most suitable place to have fair. The reason we take KLCC as our choice is because its design to engage people from around the world. As the heartbeat of the city, this unique facility is an important hub that connects the community, visitors and business to celebrate, innovate and grow. Besides that, the centre have a large space with fully air-conditioned which provide a very comfortable area for the customer. Moreover, there also provide stages that enable us to carry on several activities. There is also a lot of parking lot for our customer.

  1. Theme and Decoration

We are planning to organize a fair with a theme “Japanese Street”. Japanese Street is a fair with a main purpose to promote your company Japanese Cuisine food and beverage product. Through this event we hope that we able to trigger customer curiousness about Japanese food and beverage. We also able to boosts the company image through this fair. This is an event that setting up by adopt a lot of Japanese symbolic, as an example our staff will dress up Japanese traditional clothing, Kimono. Furthermore, our design for background and booths will decorate with large number of Cherry Blossom, Japanese umbrella and lantern to increase the beautifulness of the hall. We will put some Japanese Music like hip hop style and lyric song as the background music for the customer. They can enjoy the food with a comfortable place with song.

In this fair, we will have total of ten booths which form by eight booth for food and beverage, one for customer service or information booth, and the remaining one is for the cashier. All the eight food and beverage booths will selling the foods and beverage that provide by the company, they will also provide tester to the customer. If the customer like the products, they may buy it immediately at cashier booth or take away. Each of the food and beverage booth will surrounded by tables and chairs. Besides that, we will set up a stage in order to have performance and competition purpose. In front of the stages, we will put 100 pieces of chair for the audience.

  1. Entertainment

In Japanese food and beverage advertising fair, there are a lots of interesting and fascinating activities. In order for fair to proceed smoothly, we have the honor to invite a famous, gorgeous and professional emcee, Ms. Margreat, to help our fair in this three days.

First day, we have eating competition which is “King of the Eaters”. We will also invite the famous Japan King of Eater, Kinoshita Yuka to join this competition. In this competition, people can either online register before or register on that day, the winner of competition will get a rich prize, such as Japan travel air ticket, Japan high class tea leaf, hamper and so on. Then, we have Japanese style fashion show. This fashion show will represent the climate of Japan by Japanese tradition and modern kimono.  

Second day, we have charming Japanese traditional dance, this performance will be perform by the famous Japanese female entertainers, Maiko and Geiko. They will perform ‘Geisha dance’ as well as folk dances relating to food producing acitivity, planting rice (dengaku). After enjoy the dance, we have a sushi making competition. The way of register same as eating competition. The participants can make whatever flavor they like, as long as the sushi is beautiful and delicious.

Third day, we have Japanese culture quiz. The quiz consists different types of Japanese culture, like art, costume, food and so on. Last but not least, we have cosplay of cartoon or anime character and the atmosphere during the fair kept warm and high with rounding brands writing “Your 1st choice Japanese food - Ayakata Ltd”, to make a beautiful ending of the fair. 

At last, we will have a lucky draw session for each three day. The prize of lucky draw will sponsor by our company.  

  1. Food & Beverage

We have chosen KLCC as our place to organize the fair because it is able to let us set many booth. According to your information, your company will provide a total of 8 type of food and beverage. Therefore, we will set 6 booths for each type of the food. The other 2 booths is alcoholic beverage and non-alcoholic beverage. Since your company will provide estimate food and beverage cost of RM200,000, we will set a target sales for each of the booth in order to get back the cost as well as earn profit.

  1. Programme

All of the advertisement are related to one another which is broadcasting in social media, such as Facebook and Instagram, about the fair that we are going to organize during 31st Aug to 2nd Sept 2018 at KLCC central. Main purpose to organize this fair is to promote and introduce Ayakata company new product which included various types of Japanese food to all the population.
