Different organizations have different core competencies, competitive advantages & specialized skills. An organization may an epitome for other rival companies in the field of volume of production & sales but a failure when it comes to marketing.

The bottom line is that several organizations or companies may not be able to produce all kinds of devices or may not be able to deliver quality services on their own. Such companies may be skilled or specialized in several other fields but they might require an assistance from outside to excel in a particular field.

So, in such case, it may become necessary for such organization to ask for such assistance from an outside supplier, contractor or vendor. We can also call such process as a form of outsourcing.

This is where REQUEST FOR PROPOSALS comes into action.

Request for Proposals (RFP) is a kind of opportunity for suppliers to offer their proposals to the company asking for it. It can be though a bidding process in case of which, the company has the advantage of negotiating the prices they ask for offering their quality services required by the company.

Thus, RFP to such contractors, dealers, vendors or suppliers is significant.

As a result, I am preparing a Request for Proposal for my company as we have grown to have a total of 15 sites instead of 3 & also to have more efficient voice & data communication.

Some important points considered on the basis of research:-

пЃ¶ The first step in writing an RFP is to define it in an efficient & effective manner.

Our definition should include the basic requirements of the company.

We should specifically mention the applications & business processes as well as services the company supports.

We have to mention the actual needs of the company.

пЃ¶ We should send out our RFP 7-8 weeks before our requested date of submission to provide sufficient time to all our interested vendors or suppliers to think & draft appropriate responses to our Request for Proposals.

пЃ¶ Send the RFP to those suppliers or vendors whom we consider as being capable of delivering quality service or manufacturing the products that will satisfy the requirements of our company thereby assisting properly in the establishment of more efficient voice & data communication network.

пЃ¶ We have to prepare a comprehensive RFP & should be honest exchanging information about our company with our vendors.

пЃ¶ While selecting the proposal we should consider that the final choice i.e. the technology selected should be cost-effective & economical for our company in the long run.

Consequently, I have selected some network solution providers for the enhancement & betterment of our voice & data communication network.

These are Adams cable, AT&T, Broadvoice, Bellshare, Cisco systems, Nortel Networks, AIM phone line.

The best supplier will be selected based on their proposals.
