Relationship to the Strategic Plan
The strategic plan of the organization for the EDM department was to speed up to process of document processing. The original plan was developed to have all documents housed in one central location to make auditing easier. The process was to ensure that processing of the documents were done with little to zero errors. The ultimate goal of timeliness has not been met.
Impact in internal and external customers
The processing of documents by the EDM department impact the employees and vendors affiliated with the organization. If a new hires information is not keyed in a timely manner it results in delayed processing of wages, vendors that handle the employees health and welfare benefits are not updated in a timely manner resulting in manual labor to update employees information. The employee himself will not be able to utilize benefits or access specific systems detrimental to his or her job if the new hire documentation is not in the system. If wages are not paid it costs the company $25.00 to cut a manual checks for that employee. Not to mention the fines that can be incurred by the IRS for not reporting accurate wages. Basically everyone in the company and affiliated with the company is affected by the actions of the EDM department.
Quality tools to analyze process and the improvement plan
The quality tool that can be utilized to expose the problem areas is the flow chart and pie charts. We can take the information based on complaints made by the HR representatives, and vendors to determine what improvements need to be made. The Pie chart can show how many loss documents are occurring, the time it takes for documents to be processed, and turnaround for missing information. My solution to the problem is simple. Instead of having the documents faxed in the EDM department can begin to image documents. The HR representative will be responsible for issuing the correct information to the imaging group, the group will then scan the documents for processing. The original paper documents will be housed in one central location preferably an off site warehouse.
