Background
ABC University is launching a campus in South Africa to offer its courses. The university plans to implement a tele-presence capability in order to cut on travel costs for the trainers when the South Africa campus becomes operational. This project report presents the work breakdown structure, project schedule and feasibility assessment of the tele-presence project. As such, it is important to outline the requirements and objectives of the project in order to ensure that all the university’s requirements are taken care of in the project from the onset of the project.
Requirements
Functional requirements
- Video Conferencing
The tele-presence system must allow users (trainers & students) to virtually communicate through video conferencing. These can be at different levels inclosing; group verses group video conferencing, individual versus individual video conferencing, and individual versus group video conferencing.

The communication between the various class nodes should be seamless to allow simultaneous learning. The system should also have the capacity to log activities and record proceedings for evaluation and re-use purpose
- Instant messaging
The University also needs an avenue through which data and information can be sent and shared across various offices and the students. This is important in strengthening classroom learning through social interaction and discussions.

- Collaboration
The University also looks forward to having an avenue through which student’s projects will be effectively managed through team collaboration tools to ensure success and high performance. This is important when introducing diversity in student’s group projects and consultations.

Non-functional requirements
- The system should be first enough with transmission speed of 1GBs to allow for seamless communication
- The system should have a wide memory for storage purpose, which is to be in terms of 1000s of terabits
- The system must have quality video and audio devices to enhance presentation
- The system should elegant and easy to use User interface design
- The system’s servers must have high reliability and downtime of less than 30 minutes

Objectives
From the requirements above, the project’s objectives will be:
- To develop 10 virtual class rooms with each supporting a set of 4 class rooms from different locations
- To set up a reliable server to host the tele-presence system (dedicated server)
- To build comprehensive network architecture to allow for effective communication of various network resources
- To develop communication tools to compliment the video conferencing tool namely; the instant messaging and collaboration tool.
Project Team
In order to develop a comprehensive Work breakdown structure and schedules, the project team must be adequately identified to suit the project. The anticipated project team for the tele-presence project is as follows;
