SOLUTION CONSIDERATIONS

Industry sources say that 9 out of 10 or anywhere between 60% -90% of BPM implementations fail.

However, this is preventable!

HOW TO PREVENT THIS:

COMMUNICATION

  • Communication between us and Optisync
  • We need to know everything about your business and any problems and or question you may have throughout the process
  • Communication between your management team needs to be easily flowing.

MANAGEMENT SUPPORT

  • all team members must be on board with this project
  • Upper management needs to ensure there is no resistance to change and control any internal politics.

STAFF TRAINING

  •  all staff need to be trained to use the new system and should know what their job is have set KPIs and how it fits into the overall strategy of the company

IT DEPARTMENT

  • Addition of an internal IT department to oversea the process and monitor after implementation and ensure that all staff feel they have ongoing IT help and support

FINANCIAL COST

  • Estimated Cost $AU 850,000

TIME

  • The approximate implementation Time  is 6 -12 months
  • Further time considerations involve:
  • Training, organising and combining the current organisation and master data from the multiple computer systems and duplicated invoice and purchase orders into the ERP system.
  • Testing and monitoring also needs to be taken into consideration, which can vary depending on how fast employees learn and adjust to the new system.

RECOMMENDATIONS

  • Create BPA to assess all business processes within the Optisync value chain.
  • Implement an ERP system to streamline process and improve customer responsiveness.
  • Invest in IT infrastructure, employ an IT service department, use of email for all communication
  • Staff Training
  • Set key performance indicators.
  • Recovery of outstanding debts.

NEXT PHASE:

  • Increase suppliers, as your suppliers are few and spread in different countries, an having alternate suppliers can ensure inventory remains full and may allow for negotiation on cost.
  • Addition of  a marketing strategy and  an ecommerce website that will work with the ERP system, and allow another avenue for customers to purchase your product
  • A customer service department – increase customer satisfaction by having a team dedicated to customer service.

SUMMARY

  • We feel Optisyncs Biggest problem is slow customer responsiveness
  • BPM can help Optisync sustain competitive advantage by aligning business processes with business strategy.
  • We recommend the implementation of an ERP system such as SAP business All in One
  • Estimated Cost $AU 850,000
  • Estimated Time – 6 -12 months
  • Estimated Benefit of $8.3 million
  • Key factors to ensure success:

Communication - Management Support - Staff Training -  IT Department
